Administrative Assistant – Ontario Petroleum Contractors Association
The Ontario Petroleum Contractors Association (OPCA) is a non-profit, member-based organization committed to promoting the highest standards of quality, safety, and environmental protection in the installation and modification of petroleum systems.
We provide a range of services to our members, including certification training, industry promotion, and signature events such as our annual conference (March) and charity golf tournament (September). The OPCA also manages administrative functions for both the OPCA and the Canadian Petroleum Contractors Association (CPCA).
We are currently seeking a dedicated and organized full-time Administrative Assistant to support our growing operations.
Key Responsibilities
- Provide administrative support to the senior leadership team
- Schedule and coordinate training sessions and programs
- Maintain member and student databases, including renewals and certifications
- Support the Learning Management System (LMS) for OPCA and CPCA programs
- Process orders for OPCA goods and services, confirm payments, and prepare packing slips
- Compile statistics and data for internal and external reports
- Assist in planning and organizing OPCA events, including the annual conference
- Attend and support OPCA events as part of the onsite team
- Support project-specific initiatives and new program launches
- Offer general office assistance and backup administrative support
- Draft and post content for social media platforms
Skills & Qualifications
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Strong written and verbal communication skills
- Experience with Adobe Illustrator and Photoshop is an asset
- Highly organized with strong attention to detail
- Ability to work independently and manage multiple priorities
Position Details
- Type: Full-time (40 hours per week)
- Schedule: 8:00 AM – 4:00 PM, Monday to Friday
- Location: Remote / Work from home (equipment provided: laptop, phone)
- Wage: $45,000 per year
- Benefits: Generous benefits package after three months, plus extended holiday closure over Christmas
- Location Requirement: Candidates should reside within approximately 100 km of the Barrie office, as occasional in-person meetings or event support may be required.
